Data Security Policy

Purpose

We need to take steps to make sure that data we hold is kept secure and not allowed to fall into unauthorised hands or be used for purposes other than that which we and our clients intend. As well as our own desire to treat such information in a professional way and with appropriate confidentiality, we must also comply with regulatory and other relevant requirements. These are:

• FSA Rules

• Data Protection Act

• commercial/client confidentiality obligations to others

• our own business interests

Because of the importance of protecting our data and the potential impact of not doing so effectively, failure to comply with BRI’s policy and procedures about protecting data will be treated as a serious disciplinary matter.

Media Forms

At one time most sensitive data was held by BRI in paper form and while there was still a need to keep it securely, it was less likely that others would have easy access to it or that large quantities of data would be vulnerable at one time or in one place (other than our own premises).

Now we have to deal with the situation where, as well as paper files, most data is held in electronic form and is often easily copied to computer devices and media which can then be removed from the office.

Of particular concern are:

• laptop computers and other portable computer devices (e.g. BlackBerry, PDA etc.)

• removable media such as USB sticks, disks etc

• remote access arrangements

• email

• traditional paper based records

It is possible by using various security measures to minimise the risk of unauthorised access to our data. However, even with these in place, there is still scope for data to be exposed to risk. Therefore our approach to this problem is a combination of methods including security measures, policies and working practices.
